Steps for Productive meetings

Meetings are an important and most valued characteristics of an organization, there are many management level meetings happening throughout the organization and the purposes of which are different. Some executive level meetings may take more time, energy, efforts to organize things and may be over all a costlier affair. Time is precious for everybody and so it is very important that whatever meetings happen are productive and yield some results out of it. So meetings that are unproductive are no good to any smaller or bigger organization as more people in the room means even more wastage of man-hours at work. The interrupted workflow is one of the worst nightmares for managers who cannot leverage any conditions on meetings being held as they are said to be for good of the organization.

We can work all fresh fit and fine early in the mornings especially when there are no interruptions happening. Usually meetings are held in the afternoons especially on Tuesdays around 3 pm, that is the global time where in most meetings are held across the globe. Before a meeting starts, it is very important to set the points that are going to be discussed in the room. Here are some of the points and tips that would help you as a manager or an employee to make your meetings the most productive ones:

  • Make sure that your meeting has a purpose, question yourself about the outcome of the meeting. If the meeting brings no solutions or results, there was no point in putting the meeting at first place. Common updates can always be shared over an email or a voicemail or a simple voice call.
  • Do not gather people on Mondays, as the people are back after weekend there is much to gather and work for the company needs.
  • Prepare a review of your meetings at the end and prepare an action plan that will capture all the important points that were discussed in the meeting. Take into consideration the suggestions that were put forward by employee or sub manager. Every body has a right to opinion.
  • Standing meetings are said to bring in more activeness and energy in the topics that are being discussed. Sitting back usually holds for a laid back attitude and some people literally snooze off in the meetings. These days, bigger organizations are already holding standing meetings for their employees.
  • State the purpose of the meeting at the very start and convey the solutions that are needed at the end. Accomplish your targets by letting each and everybody who is going to attend the meeting in a very dignified and respectable manner to make them feel worthy.

The best and productive meetings are the ones that has full proof plans with all the written notes, discussion plans and implementation solutions. The great leaders would surely bring a good measurable value to your meetings.
